About the Role

We are seeking a highly competent, detail-oriented Administrative Assistant who understands that strong administration is what keeps a business running smoothly. This role is admin-first and operations-focused, with sales support and client communication forming part of the responsibility — not the other way around.

The right candidate will be someone who can manage systems, information, communication, and follow-ups reliably, ensuring that nothing slips through the cracks. This role is critical to keeping daily operations organised, responsive, and stable.


Core Responsibilities (Administrative Backbone of the Business) Administrative & Operational Management 

  • Take full ownership of daily administrative processes and task flow
  • Maintain accurate, structured, and up-to-date records of all students/clients, bookings, payments, program enrolments, and communications
  • Ensure that all administrative systems are kept current, reliable, and well-organised
  • Track information meticulously and ensure it can be retrieved quickly when needed
  • Identify gaps, delays, or breakdowns in admin processes and address them proactively
  • Prepare and share clear, accurate reports and updates with the business owner/manager
  • Support decision-making by ensuring management always has correct and complete information
  • Keep operations “afloat” by ensuring no tasks, data, or follow-ups are missed

This role requires administrative maturity, accountability, and attention to detail.


Client Communication & Booking Administration

  • Act as a reliable point of contact for clients when assistance is required
  • Respond consistently, professionally, and promptly to client queries
  • Answer questions related to services, availability, and bookings
  • Confidently navigate and support clients using the online booking platform
  • Manage booking enquiries, confirmations, reschedules, and follow-ups
  • Ensure a smooth and professional client experience at all times

Sales Support & Upselling

  • Respond to new enquiries
  • Support enrolments and client onboarding administratively
  • Identify opportunities to upsell additional services or programs where appropriate
  • Communicate value clearly to clients without being pushy
  • Accurately track upsells, enrolments, and client status
  • Earn commission on every successful upsell or enrolment supported

This is not a cold-sales role, but someone who understands the services well can generate significant additional income through informed, value-based upselling.


Required Competence & Experience

  • Proven experience in administrative or office support roles
  • Demonstrated ability to manage multiple admin responsibilities simultaneously
  • Strong record-keeping, tracking, and reporting skills
  • Comfortable using digital tools, spreadsheets, and online platforms
  • Able to learn systems quickly and work independently
  • Reliable, organised, and detail-focused
  • Takes initiative and ownership rather than waiting to be managed
  • Understands that admin accuracy directly impacts business performance

This role is not suitable for technophobes, disorganised individuals, or those who struggle with accountability.
